About the Role

Your role is to manage and optimise virtual communication platforms like Zoom and Teams for project-related meetings, workshops, and collaborative sessions. By embracing your role as a Technology Hosting Contributor, you will contribute to seamless virtual experiences for our clients and foster efficient collaborations within our teams. You are to ensure smooth coordination and efficient management of various tasks and activities related to scheduling, administration, and logistics within the team or organisation. The primary focus is to allocate approximately 30% of the time to handle these responsibilities effectively. Also, you are to ensure accurate and timely entry of project-related information into the organisation's project management system. Key Responsibilities

Technology Hosting Responsibilities (40% of the time):

  • Schedule and host virtual meetings, ensuring successful sessions.
  • Troubleshoot technical issues and maintain smooth audio/video connections.
  • Familiarise yourself with platform features and functionalities.
  • Seek assistance from the Technology Hosting Manager if needed.
  • Consider exceptions for separate tech hosts or large groups.
  • Commit to additional training to enhance platform knowledge and usage.
  • Contribute to the success of projects and exceptional virtual interactions.

 

Project Management Systems (30% of the time):

  • Maintain and monitor project plans, schedules, work hours, budgets, and expenditures.
  • Capture and record all costs associated with projects accurately.
  • Prepare timely and accurate invoices for projects.
  • Maintain the Work in Progress (WIP) report, updating it regularly.

 

Scheduling & Administration (30% of the time):

  • Enter project details into the Project Management system accurately.
  • Arrange and coordinate coaching sessions for clients.
  • Schedule meetings between clients and consultants.
  • Set up and coordinate virtual and hybrid workshops and meetings.
  • Make travel arrangements when necessary.
  • Act as the primary point of contact for program-related coordination and logistics.
  • Note: As the role is new, responsibilities may be subject to change or adaptation, and the team provides training and support to help excel in the role.

 

Position Requirements 

  • Proficient in platforms such as Microsoft Teams or Zoom, with prior experience in utilising them effectively.
  • Demonstrates exceptional organisational skills and keen attention to detail.
  • Possesses excellent English communication skills, capable of effectively navigating challenging situations.
